Recognition Approvals

Review and approve award nominations.

If you're a manager or approver, you review and approve employee nominations. This guide shows you how to evaluate nominations effectively.

Before You Begin

You'll need approval permissions from your administrator. Approval hierarchies vary by organisation.

Viewing and Approving pending award nominations

Step 1: View Nominations

Go to Recognitions > Recognition Approvals in the left menu to view all nominations — pending, approved, or rejected.

Managing Delegated Approvals: If you're reviewing on behalf of a senior leader, use the toggle on the Recognition Approvals screen to switch between "Pending on me" and "Pending on delegated account."

You can filter nominations by:

  • Recipient Name

  • Award Name

  • Nomination Status

  • Date Requested

Step 2: Check Nomination Status

  • Take Action — You are the approver and need to review this nomination

  • Awaiting Review — You submitted this nomination and it's pending action from the approver

Step 3: Take Action on a Nomination

Click Take Action to open the nomination. You'll see the award details, core value demonstrated, and the nominator's citation.

Nomination submission shows the details of the Award or Core Value demonstrated and the reason provided by the nominator. This allows managers or admins to either approve or decline the nomination.

💡 Using Smart Insights for Review

In many cases, an approver may lack the specific context needed to judge the magnitude of an employee's impact based on a written citation alone. Smart Insights provides system-driven assistance to help you make informed, fair decisions. Use the Smart Insights panel to view data-driven context regarding the nomination. This simplifies the review process by highlighting impact patterns that may not be fully detailed in the nominator's text.

Before finalizing, you have the following action options:

Sends the nomination back for the nominator to improve the citation

Approve or decline multiple nominations at once

Look at the screens for the four options as below:

  1. Approve: Move the nomination to the next stage.

2. Decline: Reject the nomination (you must mention the reason for rejection).

3. Message Nominator: If the award message lacks context or needs improvement, send a notification back to the nominator asking them to edit and enhance the citation.

4. Bulk Actions: To save time, you can select multiple nominations simultaneously and use the bulk action feature to approve or decline them all at once.

The manager or admin must mention the reason for their approval or rejection. Once approved, the request goes for a second round of approval, which follows a similar flow.

Step 4: Second Round of Approval

Once initially approved, the nomination moves to a second approver who follows the same review process.

Step 5: Select Budget

The final approver selects the budget from which the reward points will be allocated.

Step 6: Edit Citation

The nominator can edit the citation only if the first-level approver has not yet approved it.

To Edit:

Step 1: Hover on the citation > Click on the edit icon > Make changes and click on ✅ to save the changes.

The approver can also format the citation and attach relevant files if needed.

Cancel Nominations

The nominator can cancel the nomination anytime before approval by clicking the three dots and selecting 'Cancel Nomination'.

Once it is cancelled, the status will be shown on the Recognition History page.

Raise a request to revoke the Award

Nominators or approvers can raise a request to revoke an award. If multiple approvers are involved, the final approver can ask a previous approver to complete their part of the process before proceeding.

Notification and Points

Once the nomination is approved, the system notifies the nominator, nominee, and the relevant users of the nominee, and the reward points will be added to the nominee's account.

  • If the nomination is rejected, the system notifies the Nominator.

  • If the award is revoked, then the Nominee and Nominator will be notified.

  • Award revoked: Both the nominee and nominator are notified

FAQ's

Where can I find all the nominations that I need to take action on?

Go to Recognition > Recognition Approvals. Use filters such as Recipient Name, Award Name, Nomination Status, and Date Requested to narrow down your search.

What does “Take Action” mean in the nomination status?

“Take Action” indicates that you are the designated approver and are required to approve or decline the nomination.

Do I need to provide a reason when approving or rejecting a nomination?

Yes, a reason is mandatory when approving or rejecting a nomination. This helps maintain transparency and accountability in the recognition process.

What happens after I approve a nomination?

The nomination will proceed to the next level of approval (if applicable). Once all approvals are completed, reward points will be credited to the nominee.

What does it mean to revoke an award, and who can do it?

Revoking an award means withdrawing an approved award. Both nominators and approvers can raise a request to revoke. If there are multiple approvers, the final approver can request action from prior approvers.

What happens after I approve a nomination?

After you approve a nomination, the post will be generated in the respective (selected) group based on the config.
